General Questions

How do we communicate?

I prefer all communication to be via Slack but I can also do email or use whatever method of communication you prefer.

What are your working hours?

I work during AEST hours since most of my clients are based in Sydney.

How long does it take for you to complete the tasks?

Turnaround depends on my availability at the time, I try to get things done quickly but delays do happen and I don’t want to overpromise and underdeliver.

Can you handle urgent requests?

I’m open for urgent work but with limitations, for example I won’t be able to make a website update at 2am on a Sunday.

Do you only work with WordPress?

I am most comfortable working with WordPress and most experienced with it but I am also familiar with Shopify, Webflow and Squarespace.

Time Tracking & Transparency

How do you track time?

I use Toggle to track time accurately and to generate detailed breakdowns of hours worked. Time logs can be provided anytime upon request and at the end of each billing cycle (see example report). I can also track time with Upwork tracker which takes screenshots of my desktop at random times for your peace of mind but only at my full rate of $64/hour due to Upwork fees and privacy concerns.

Can we hire you on Upwork?

I’m open to be hired via Upwork for hourly billed work at my normal rate. For flat fee retainers I prefer to be hired directly.

Do unused hours roll over?

I don’t allow unused time to “roll over” to the next month as that would introduce complete chaos to my schedule but at the same time I would never feel right about billing for hours I didn’t work, and I’m sure you wouldn’t either. I realize that this sounds like a scam but I don’t do it in hopes of getting free money, it’s there to encourage my clients to keep me busy. If the amount of work you have for me fizzles out you can always downgrade or cancel the retainer with a 30-day notice.

What about overages?

When your allotted hours are close to running out I will notify you and will ask if you’d like to wait until the next billing cycle or if you’d like me to continue working on the open tasks or projects. I will also provide a written estimate for the overages. I will not complete extra work without your permission. Additional hours will be billed at the standard rate ($64/hr) as long as I’m not overbooked at the time.

Billing

How does billing work?

I prefer to be paid in advance each month but I also want the retainer to be as pain-free and smooth for my clients as possible so we can discuss your preferred terms of billing and payment once we get to know each other a little bit during the trial month. The trial month is billed in advance and can be cancelled anytime and without prior notice (see below).

Commitment & Flexibility

How does trial month work?

I offer a trial month for all of my retainer plans. During the first month, you can cancel at any time without the 30-day notice that’s normally required. This way you get an idea of how I work and if you don’t like the results for the first month, you aren’t stuck with me. There is no refund for the trial month’s fee if you cancel.

Is there a minimum commitment?

There is no minimum commitment for retainers but I require a 30 day notice if you decide to cancel the retainer. I depend on my retainers for my livelihood and the 30-day notice gives me time to prepare and make up for the loss of income if our relationship ends.

Can I upgrade or downgrade?

Plans can be downgraded at the start of the next billing cycle. Upgrading is possible but would depend on my capacity, there might be a 2 – 3 months of waiting required until a slot opens up.

Workflow

How do I submit tasks?

Tasks can be submitted via Slack, email, ClickUp, Asana or via your preferred project management tool. Each task is reviewed and estimated before execution.

How many tasks can I submit?

As many tasks as you like, I’ll work through them based on your allocated hours and priority level.
